Delinquency Protocol Guide

Overview

The delinquency protocol ensures that Bible study requests are followed up within the promised timeframe.

This protocol applies only to interests generated through:

  • BibleStudyOffer.com
  • Bible study social media advertising

These contacts are protected by the protocol because they were promised Bible studies within 5–7 days.

Step 1: A Bible Study Request Is Submitted

When someone submits a request through BibleStudyOffer.com, the system automatically:

  • Creates the new interest
  • Sends notifications to account admins
  • Sends notifications through the One Accord Outreach app

The new interest will appear:

Step 2: Assign the Interest

A church admin should assign the interest to a Bible study leader as soon as possible. Please note that only users who are “active” (have set up their account access and password) can be assigned to interests as a mentor.

Once a mentor has been assigned:

  • The Bible study leader, or mentor, receives a notification
  • The leader can view the contact details and request information
  • The leader is expected to follow up within the promised timeframe
Delinquency Timeline
Day 5 — Warning Notification (Status Color: Yellow)

If no Bible study has been recorded by Day 5:

  • The assigned leader receives a reminder notification
  • The system warns that only 2 days remain before the request becomes overdue
Day 7 — Final Reminder (Status Color: Yellow)

If no study has been recorded by Day 7:

  • The leader receives a final notification
  • This is the last day to remain within the promised timeframe
Day 8 — Marked Late (Status Color: Red)

If no study has been recorded by Day 8:

  • The interest is marked Late
  • The interest row turns red in the system
  • A red “Late” tag appears
Day 15 — Interest Transferred (Status Color: Gray Tag)

If no study activity has been recorded by day 15:

  • The interest is marked Transferred
  • Contact information is sent to the Bible Study Offer Headquarters for follow-up

This ensures the requester still receives Bible studies.

Important

The local church does not lose access to the interest.

Churches are still encouraged to:

  • Continue personal follow-up
  • Build relationships with the interest
  • Deliver studies personally whenever possible
Account Pause Policy
First Pause

If 3 interests are transferred without timely follow-up:

The church’s BibleStudyOffer.com intake is paused.

What Gets Paused

Only:

  • BibleStudyOffer.com requests
  • Bible study social media leads

All other interest entry methods continue functioning normally.

Reactivating the Account

When logging in, admins will see a message explaining the pause.

To reactivate:

  1. Click the acknowledgment button
  2. The account immediately resumes normal operation
Second Pause

If another 3 interests are transferred after reactivation:

The account is paused again.

Reactivation Requirement

The church must contact the One Accord support team before reactivation.

This allows the support team to:

  • Identify challenges
  • Improve follow-up systems
  • Help the church manage studies more effectively
What Counts as Follow-Up?
Activities That DO NOT Stop the Delinquency Protocol

The following activities do not cancel delinquency tracking:

  • Text messages
  • Emails
  • Phone calls
  • General connection records

Reason:
The requester was promised Bible studies, not just communication.

The ONLY Activity That Stops Delinquency

The delinquency protocol ends only when a Bible Study activity is recorded.

Two Valid Study Statuses
Completed

Use when the study was successfully delivered.

Attempted

Use when delivery was attempted but unsuccessful.

Example:

  • Nobody answered the door
  • The person was unavailable

Recording an Attempted study still stops the delinquency process because a timely delivery attempt was made.

Recommended Approach

Personal, in-person follow-up produces the highest success rates.

Avoid Leading With
  • Text messages
  • Emails
  • Impersonal communication

Direct personal contact is strongly encouraged whenever possible.
